We are excited to announce an excellent career opportunity for an Operations Manager to oversee our Travel & Expense (T&E) team. If you are a detail-oriented professional with a passion for delivering exceptional service and driving process improvements, this role is for you. Here are the key responsibilities and qualifications:

Job Responsibilities

  1. Take responsibility for the operational management of the expense report audit process handled by the team.
  2. Ensure service quality and Key Performance Indicators (KPIs) are met by the T&E team.
  3. Ensure smooth daily business execution for the Travel & Expense operation.
  4. Request adjustments and configuration of the workflow in Concur as needed.
  5. Generate weekly and monthly KPI reports.
  6. Organize and distribute daily workload coordination among team members.
  7. Perform daily revision and approval of cash advances.
  8. Act as the first stage of escalation for any customer issues, resolving and investigating queries as necessary. Conduct root cause analysis for major escalations.
  9. Assist the team when a response or resolution from stakeholders is needed and not obtained.
  10. Coordinate and drive bi-monthly sessions with finance managers.
  11. Organize training sessions with front office (FO) when needed or upon customer’s request.
  12. Perform testing and ensure the correct workflow in Concur when transitioning new offices to the Service Center.
  13. Identify process standardization and improvement enhancements and support their implementation.
  14. Serve as the main point of contact for each FO, providing support for escalations or situations requiring prompt resolution.

Job Qualifications

  1. Bachelor’s Degree, preferably in Accounting or Finance, with 5+ years of related professional experience or an equivalent combination of education and experience.
  2. Proficient in using accounting and financial systems.
  3. Knowledge of Microsoft Office suite.
  4. Experience in interfacing with business customers to resolve expense reports and cash advances.
  5. Strong analytical skills.
  6. Excellent customer service skills.
  7. Lean Six Sigma Yellow or Green Belt certification (achieved or in progress).
  8. Ability to work independently and collaborate with other team members.
  9. Excellent initiative and commitment to a course of action.
  10. Proactive and innovative with ideas to improve processes and services.
  11. Experience working within a Shared Service environment.
  12. Familiarity with accounting/finance experience at World Vision or any NGOs is a plus.
